Communication style insights

Learn how each person likes to be approached, then write messages that land.

As you exchange emails with someone, Ultragent learns their communication style and turns it into clear, practical guidance. You'll find it in the Communication Preferences card on the Overview tab of any contact.

What the insights tell you

  • Tone and pacing: whether this person prefers short and direct or warm and detailed.
  • Communication advice: a simple recommendation for how to open, structure, and close your message.
  • Do's and Don'ts: quick lists of what works well and what to steer clear of.
  • Preferred channels: where this person responds best, such as email, phone, or video.
  • Response time: how quickly they typically reply, so you know when to follow up.

Put the insights to work

  1. Open the contact and read the Communication Preferences card before you reach out.
  2. Click Email at the top of the profile to start a draft.
  3. Review the message, which is already shaped to match this person's style.
  4. Adjust anything you'd like, then send.

Every email you draft in Ultragent is written in your own voice and tuned to the person you're contacting, so it sounds like you and lands the way they prefer. The more you communicate, the sharper the guidance becomes.

Tip

Skim the Do's and Don'ts right before an important send. A single tweak in tone can be the difference between silence and a reply.

Where do these insights come from?

They're learned from your real email exchanges with the contact, so they reflect how that person actually communicates.

What if a contact is brand new?

Insights appear once there's some interaction history. Until then, click Enrich to get a head start on their background.

Do my drafts still sound like me?

Yes. Drafts match your personal writing voice while adapting to the recipient's preferred style, so they sound like you on a good day.

How do I know the best time or channel to follow up?

Check the Response time and Preferred channels lines on the Communication Preferences card. They show how quickly this person usually replies and whether email, phone, or video lands best.

Do the insights get better over time?

They do. The more you exchange messages with someone, the sharper and more specific the guidance becomes.
