Build a library of go-to email templates with smart fill-in fields so your best messages are always one click away.

If you find yourself writing the same kind of message again and again — outreach, follow-ups, proposals, thank-yous — templates let you write it once and reuse it forever. Your library stays organized by category, so the right message is always close at hand.

Create a template

  1. Open the Email Templates page and click New Template.
  2. Give it a clear name and pick a category, such as Outreach, Follow-up or Proposal.
  3. Write your subject and body. Use fill-in fields like {{firstName}} or {{companyName}} wherever you want personalized details.
  4. Add a few tags if you like, then click Create Template.

Smart fill-in fields

Fill-in fields are placeholders that make a single template feel personal every time. Wrap a word in double braces — for example {{firstName}}, {{yourName}} or {{companyName}} — and Ultragent shows how many personalized fields your template uses at a glance.

Reuse, preview and organize

  • Preview: see the full subject and body before you use a template.
  • Use This Template: drop a template straight into a new email, ready to personalize and send.
  • Duplicate: start a new version from one you already like.
  • Search and filter: find any template by keyword or category in seconds.

Keep a short, friendly follow-up template ready to go. It is the message busy sellers reach for most, and having it saved means you will actually send it.

Can I organize templates by type?

Yes. Each template has a category such as Outreach, Follow-up, Meeting or Proposal, and you can filter your library by category or search by keyword.

How do the fill-in fields work?

Wrap any word in double braces, like {{firstName}}, to create a personalized field. Ultragent counts these for you so you can see at a glance how tailored each template is.

Can I preview a template before I send it?

Yes. Preview shows the full subject and body so you can read it over, then Use This Template drops it straight into a fresh email to personalize and send.

Can I make a copy of a template I like?

Yes. Use Duplicate to create a new version you can adjust, or Use This Template to drop it straight into a fresh email.
