Building a multi-step email sequence

Use the visual builder to create a multi-step email sequence that follows up with prospects automatically.

A sequence is a series of emails that go out on a schedule you set. Ultragent sends each step at the right moment, so no prospect ever slips through the cracks and your follow-up stays consistent.

Create a new sequence

  1. Open Email Sequences from the Sales menu.
  2. Click New sequence to open the visual builder.
  3. Give your sequence a clear name and an optional description.

Add and arrange your steps

The builder shows your sequence as a simple flow from Start to End. Add steps from the panel on the left, then drag them into the order you want.

Send EmailSends an email to the contact.
WaitPauses for a set number of days or hours before the next step.
ConditionBranches the path based on how the contact engages.
ExitEnds the sequence for that contact.

Write each email

Click any email step to open the editor. Here you set when it sends and what it says.

  1. Set the timing under Days after previous and Hours.
  2. Write your Subject Line and Email Body.
  3. Click Ultragent Assist to have a draft written for you, then edit to taste.
  4. Use the Quick insert tags such as {{firstName}} and {{companyName}} to personalize each message.
  5. Switch to Preview to see exactly how the email will look.

Tip

Keep Skip if contact replied switched on. When someone answers, Ultragent stops sending the rest of that step so your prospect never gets a follow-up after they have already responded.

Set your sending rules

Click Settings to control how the whole sequence behaves:

  • Business hours only: send between the start and end times you choose, so emails land during the workday.
  • Exit on reply: stop the sequence the moment a contact replies.
  • Exit on meeting booked: stop the sequence once a meeting is on the calendar.

Save and activate

  1. Click Save to keep your work.
  2. Review your steps in the flow one more time.
  3. Click Activate to turn the sequence on and make it ready for contacts.

Good to know

You can pause an active sequence at any time, make changes, and switch it back on. Your enrolled contacts pick up right where they left off.

How many steps should a sequence have?

Four to five steps is a great starting point. Add a Wait step between emails to space them out comfortably so you stay persistent without feeling pushy.

Will contacts keep getting emails after they reply?

No. With Exit on reply and Skip if contact replied turned on, follow-ups stop automatically the moment someone responds.

How do I make sure emails only land during work hours?

Turn on Business hours only in Settings and set your start and end times, so messages send during the workday instead of overnight.

Can I change a sequence after it is already live?

Yes. Pause it, make your edits, and switch it back on. Your enrolled contacts simply pick up right where they left off.
