Creating and managing your own tasks

Capture work in seconds with natural language, then organise it with due dates, priorities and subtasks.

Your Tasks workspace keeps personal work, customer follow-ups and reminders together in a single, tidy list. Adding a task is fast, and Ultragent understands plain language so you barely have to slow down.

Add a task in seconds

Use the Add a task box at the top of your list. Type the way you would speak, and Ultragent fills in the details for you.

  1. Click Add a task at the top of the list.
  2. Type something like "Call Riley Carter tomorrow 3pm p1 #work @urgent".
  3. Watch the due date, time, priority, project and labels fill in automatically.
  4. Press Enter to add it.

Good to know

In that example, "tomorrow 3pm" sets the date and time, "p1" sets the highest priority, "#work" files it under your Work project, and "@urgent" adds an urgent label.

Set the details that matter

Open any task to fine-tune it. A simple panel lets you set everything without hunting through menus.

  • Due date and time: pick Today, Tomorrow, Next Week, or any date on the calendar.
  • Priority: choose Priority 1 to 4 so the most important work rises to the top.
  • Project: file the task under a project, or leave it in your Inbox.
  • Labels: tag tasks with words like @urgent or @callback to group them your way.
  • Status: move a task through Pending, In Progress, Completed and Cancelled.

Break big tasks into steps

For anything with several parts, add subtasks. Tick them off one by one and see your progress at a glance.

  1. Open the task and find the Subtasks section.
  2. Type a step into Add a subtask and press Enter.
  3. Repeat for each step, then check them off as you finish.

Stay organised as you work

  • Drag to reorder: drag tasks up or down to set the order you want to tackle them.
  • Filter the view: filter by status or priority, and turn on Show completed when you want to look back.
  • Link the context: use the Context tab to connect a task to a contact, deal, note or email.

What is the Inbox?

The Inbox holds any task that is not filed under a project yet. It is the perfect spot to capture something quickly and sort it later.

Can I mark a task as in progress?

Yes. Set the status to In Progress so you and anyone you share with can see what you are actively working on.

How do I complete a task?

Tick the circle next to it, or set its status to Completed. Completed tasks tidy themselves away and reappear when you turn on Show completed.

Can I really type the date and priority in one line?

Yes. Type naturally, like "Call Riley Carter tomorrow 3pm p1 #work", and Ultragent fills in the due date, time, priority and project for you as you go.

How do I split a big job into smaller steps?

Open the task, add a subtask for each step, then tick them off one by one to watch your progress build toward done.
