Turning emails into tasks automatically

Ultragent spots the to-dos buried in your emails and offers them to you as ready-made tasks.

When a customer writes "please review the attached proposal" or "can you send pricing by Friday," that is a job for later. Ultragent reads your emails as they arrive, recognises the action you need to take, and prepares a task for you. You stay fully in control: nothing is added until you say yes.

Why this helps you sell

  • Nothing forgotten: the follow-ups that drive deals forward are captured the moment they appear.
  • Less typing: the task title, related contact and email are filled in for you.
  • Always in context: each suggested task is linked back to the email it came from, so you remember exactly why it matters.

How suggested tasks reach you

As Ultragent works through your inbox, it creates task suggestions and presents them for your approval. You review the suggestion, make any tweaks you like, and add it to your list.

  1. Open the suggestion when Ultragent flags a follow-up from an email.
  2. Check the task title and due date it has prepared.
  3. Adjust anything you want, such as the priority or the date.
  4. Click Approve to add it to your tasks, or dismiss it if it is not needed.

Tip

Approved email tasks keep a link to the original message. Open the task's Context tab any time to reread the email behind it.

Find your email tasks

Once approved, an email task behaves like any other. It appears in your Inbox, in Today or Upcoming when it has a due date, and inside any project you move it to.

Will tasks be added without my approval?

No. Ultragent suggests the task and you decide whether to add it. You are always the one who confirms.

Can I change the suggested due date?

Yes. Edit the date, time, priority and project before or after you add the task.

How do I see which email a task came from?

Open the task and select the Context tab. The source email is listed there with a quick link back to it.

What if one email contains more than one to-do?

Ultragent can pick up each action it spots and offer them as separate suggestions, so every follow-up gets its own task and nothing hides behind something else.

Do I have to act on a suggestion straight away?

No. Suggestions wait patiently for you, so you can approve the ones you want whenever you are ready and dismiss anything you do not need.
